Nova Scotia trades businesses work in a market where heat pumps are already mainstream, oil is still common, and rebates come with specific conditions. That makes record-keeping a competitive advantage: knowing exactly what you installed, where and when lets you quote accurately, document rebates properly and market service to the right customers. We help Nova Scotia owners set up those systems. We're a marketing and business consulting service, not a contractor.
The Nova Scotia market for going digital
Halifax is by far the largest market, with Cape Breton Regional Municipality around Sydney, Truro, East Hants, West Hants and the Lunenburg area making up much of the rest. Outside the Halifax area, a lot of work means travel along the coast and inland routes, so booking rules have to respect drive time.
The most valuable record for many shops here is their install base: every heat pump, oil system or water heater they've put in. If it's on paper, it's nearly impossible to market service to. A paper to CRM migration turns that history into a list you can actually use.
Seasonality and climate
Expect raw, wet and unpredictable winters, gentler by the sea and harsher a few kilometres inland. Statistics Canada's 2023 survey found electricity was the main heating energy for 29% of households, oil for 28% and wood for 6%, with heat pumps the primary system in 25% of homes.
That mix means busy heating seasons for several kinds of trades at once, and a large installed base of heat pumps that benefit from regular maintenance. Fall reminders sent from your CRM can fill the schedule before winter calls arrive.
Regulators to know
We link and summarize only; ask the regulator or your adviser about compliance.
- The province's Technical Safety Division oversees boilers and pressure equipment, electrical, elevators, fuel safety and more. Under the Technical Safety Act, both gas fitters and oil burner technicians hold provincial licences, so record each tech's licence on their profile.
- WCB Nova Scotia handles workers' compensation.
- The Nova Scotia Apprenticeship Agency runs certification; electrical and plumbing are compulsory certified trades.
- Nova Scotia Consumer Protection covers consumer matters, and the Registry of Joint Stock Companies holds business names.
Programs that affect your paperwork (as of October 2026)
Efficiency Nova Scotia offers heat pump rebates of up to $5,000 for new heat pumps, but not for replacement units. Its HomeWarming program provides no-cost upgrades for low-income households and was expanded under the federal affordability agreement announced on June 29, 2026. The Moderate Income Rebate levels were being adjusted, and the oil-to-heat-pump program closed to new applicants on July 2, 2026, once funding was fully allocated. Home heating system rebates ended on December 31, 2025.
With that many changes, quote and invoice templates should state clearly which program, if any, a job relates to. Digital invoicing lets you update templates in one place when a program changes. Confirm current terms with Efficiency Nova Scotia.
A quick test of your records
Pick any heat pump you installed three years ago. Can someone in your office find the model, install date and the homeowner's phone number in under a minute? If not, that install base is invisible to your marketing, and every fall it's being serviced by whoever reaches those homeowners first.
How we'd approach a Nova Scotia trades business
- Build the install base into the CRM: system type, model, install date, new or replacement.
- Program fields on quotes and invoices, updated as programs change.
- Fall maintenance reminders to past install customers, with consent tracked.
- Review requests after every job; see review automation.

Frequently asked questions
Why does the new-versus-replacement distinction matter for our records?
Efficiency Nova Scotia only rebates a heat pump going into a home for the first time; swapping out an old unit doesn't qualify. If your job records show whether a unit is a first install or a replacement, quotes and invoices can set customer expectations correctly. Confirm current rules with Efficiency Nova Scotia.
Can a CRM help us sell maintenance to past heat pump customers?
Yes. Once installs are recorded with dates and models, the system can send service reminders on a schedule you choose, with consent tracked for any marketing messages.
We do oil heating work too. Does that change the setup?
It adds fields, such as tank details and conversion history, but the setup is the same. Many Nova Scotia shops work across oil, electric and heat pump systems, and one CRM can hold all of it.
