Manitoba is a good example of how paperwork and marketing meet. The province's heat pump rebates are generous, but they reward contractors whose records are complete, and the heating season is long enough that a disorganized office pays for it every winter. We help Manitoba trades move to digital systems that make documentation automatic. We're a marketing and business consulting service, not a contractor.
The Manitoba market for going digital
Winnipeg holds most of Manitoba's population and most of its competition. Brandon, Steinbach, Winkler and Portage la Prairie serve strong regional markets, and Thompson anchors the North. A shop based in one of those centres often serves a ring of smaller towns too, so its customer list grows wider than any notebook can keep straight.
A typical pain point: rebate-eligible jobs mixed with regular service work, tracked on paper, with documents scattered between email, the truck and a filing cabinet. A paper to CRM migration puts every job, document and photo in one record.
Seasonality and climate
Manitoba has one of the longest heating seasons in southern Canada, with long and very cold prairie winters. According to Statistics Canada's 2023 survey, natural gas was the main heating energy for 52% of Manitoba households and electricity for 33%, a larger electric share than its Prairie neighbours.
For heating trades, the demand curve is steep in late fall. For exterior trades, the outdoor season is short. Either way, a switch-over to new systems belongs in a quieter window, and booking rules should let you cap self-booked jobs when the cold arrives.
Regulators to know
We link and summarize; we don't give compliance advice.
- The Office of the Fire Commissioner, through Inspection and Technical Services, issues gas and oil burner permits and tradesperson licences, electrician licences, and oversees boilers and pressure vessels.
- WCB Manitoba is the workers' compensation board.
- Apprenticeship Manitoba runs apprenticeship and certification.
- The Consumer Protection Office handles consumer matters.
- The Companies Office registers business names, which should match across invoices and listings.
Programs that affect your paperwork (as of October 2026)
Efficiency Manitoba's Air Source Heat Pump Rebate offers $2,000 for a centrally ducted cold-climate unit or $1,500 for ductless, in existing primary residences. Registered suppliers can earn a $100 bonus on applications that include an F280 heat-load calculation, submitted before March 31, 2027.
That bonus is a small but clear reason to digitize: if the F280 is attached to the job record, it's never missing when the application goes in. We build a job checklist so the calculation, photos and model details are on file before a rebate job can close, and your digital invoice carries the details the application needs.
Manitoba was also the first province to sign on to the federal Canada Greener Homes Affordability Program, delivered by Efficiency Manitoba for low- to median-income households, as announced on September 12, 2025. Confirm current program details with Efficiency Manitoba.
A simple rebate-job checklist
Before a rebate job can be marked complete, the tech's app should ask for four things: the heat-load calculation file, photos of the installed equipment and its nameplate, the model and serial numbers, and the customer's confirmation that the home is their primary residence. If any item is missing, the job stays open, and the office knows exactly what to chase.
How we'd approach a Manitoba trades business
- Separate rebate jobs from regular jobs in the CRM, with their own checklist.
- Attach every document (F280, photos, model numbers) to the job record.
- Invoice the same day, with rebate-ready fields on the template.
- Cap self-booking in peak cold weeks; keep emergency calls going to a person.
- Ask every customer for a review, consistently, using review automation.

Frequently asked questions
Can a CRM store heat-load calculations and rebate documents?
Yes. Most field-service systems let you attach files and photos to a job. We set up a checklist so the documents a rebate needs, such as an F280 calculation, are attached before the job can be closed.
We're registered with Efficiency Manitoba. Does that change our setup?
It mainly affects your invoice and job templates. Registered suppliers handle program paperwork, so we build the fields and attachments the program expects into the job record. Confirm program rules directly with Efficiency Manitoba.
Is Winnipeg different from the rest of Manitoba?
Yes. Winnipeg is where most competition and most search volume sit, so response speed and reviews matter most there. Outside the city, travel planning and repeat-customer records matter more.
